NXT FIGHT: Guardian Consent for Minor Fighters (16–17)

NXT FIGHT allows fighters aged 16–17 to use the Platform only with the verified consent of a parent or legal guardian. This document explains the policy (Part A) and provides the consent letter a guardian signs (Part B).

Part A: Policy

A1. Who this applies to

• Under 16: not permitted to use the Platform.
• 16–17 (a "Minor Fighter"): permitted only after guardian consent is submitted and approved.
• 18+: adults; this document does not apply.

A2. What the guardian must submit

Before a Minor Fighter gets normal access, the parent/legal guardian submits, through the app, clear photos/scans of:

1. Guardian's Emirates ID or passport: proves the guardian's identity.
2. Minor's Emirates ID, passport or birth certificate: proves the minor's identity, age, and relationship to the guardian.
3. Signed parental consent letter: the letter in Part B, signed by the guardian.

The guardian also provides their name and relationship to the minor (parent or legal guardian).

A3. Review & account state

• Until documents are submitted and approved, the Minor Fighter's account is gated and is not publicly discoverable. Internally the account moves through the states docs_required → pending → approved (or rejected).
• An administrator reviews the documents. Approval unlocks normal (still age-appropriate) access; rejection keeps the account gated with a reason.

A4. What the guardian is consenting to

By consenting, the guardian confirms they permit the minor to: create and maintain a public fighter profile; be discovered and contacted through the Platform; and, where the minor takes part in training, sparring, matching or events connected to the Platform, do so under the guardian's supervision and responsibility, subject to the Liability Waiver.

A5. Data protection for minors

The guardian's and minor's documents are treated as sensitive personal data: stored with access controls, used only to verify eligibility and consent, and retained only as long as needed (see Privacy Policy §7 and §11).

The guardian may withdraw consent at any time by emailing privacy@nxtfight.com. When they do, we will:

• disable the minor's account immediately — their profile is removed from public view and from search, and they can no longer request verification; and
• delete the guardian and minor identity documents we hold (Emirates ID or passport, birth certificate, and the signed consent letter). We keep a record that consent was given and later withdrawn, without the documents themselves.

Withdrawal disables the account rather than deleting it, so a guardian who changes their mind can have it restored — in which case fresh consent documents are required, since the originals are gone. A guardian who wants the account deleted rather than disabled can say so in the same email, and we will erase it permanently.

A6. Guardian responsibility

The guardian is responsible for supervising the minor's use of the Platform and participation in any activity, and for ensuring it complies with the law and with the rules of the relevant federation/commission.

Part B: Parental / Guardian Consent Letter

1. I am the parent or legal guardian of the above minor and have authority to give this consent.
2. I consent to the minor creating and using an NXT FIGHT fighter account, including a public profile, being discoverable and contactable through the Platform.
3. I have read and I accept, on the minor's behalf and my own, the NXT FIGHT Terms of Service, Privacy Policy and Liability Waiver.
4. I understand that combat sports are inherently dangerous and can cause serious injury or death, and I accept those risks on the minor's behalf. I confirm the minor is medically fit to take part, and that any training, sparring, matching or competition will be under my supervision and responsibility.
5. I understand NXT FIGHT is a technology platform only and is not an organiser, promoter, sanctioning body, coach, medical provider or insurer.
6. I consent to NXT FIGHT processing the minor's and my personal data and the documents I submit for the purposes described in the Privacy Policy, and I understand I may withdraw this consent at any time by contacting privacy@nxtfight.com.
